Why did the client contact us?

This client came to us with a clear goal: they wanted a conference room that just works. Their priorities were a reliable, easy-to-use setup that didn’t require constant tech support, a camera system that could clearly capture everyone in the room—not just those seated near the screen—and the flexibility to use either an in-room PC or their own laptop during meetings.

They were tired of disorganized setups, tangled wires, and awkward workarounds. They needed a streamlined conference room solution that made video conferencing simple, whether for Zoom, Microsoft Teams, or in-person presentations.

The work provided:

We started by designing a clean, hardwired setup to ensure consistent performance without relying on Wi-Fi. We ran ethernet, HDMI, and USB cables between the Epson smart projector and a mini PC discreetly housed in the leg of the conference room table. The projector allows interactive control directly on the whiteboard—making it perfect for collaborative sessions and live annotations.

At the heart of the setup is a KVM switch, letting users toggle between the built-in PC or a connected laptop with a single button. This gives the team complete flexibility depending on the meeting format.

We installed a 360-degree conference camera in the center of the table, ensuring clear visibility of all participants—no matter where they sit. This solves a common issue with traditional webcam placements, where only a portion of the room is visible.

To make sure the system is user-friendly for all staff, we also:

  • Included laminated quick-start instructions and basic troubleshooting guides

  • Connected a wireless keyboard and mouse for full control of the PC from anywhere at the table

  • Ensured plug-and-play compatibility with laptops for BYOD (Bring Your Own Device) meetings

The Result

The client now has a professional conference room setup that’s modern, efficient, and easy for anyone to use—no IT degree required. With smooth switching between devices, high-quality video coverage, and interactive whiteboard control, their team can host better meetings with less hassle.
